Title of position:            Finance Clerk

The Indiana Conference of The United Methodist Church is seeking a full-time Finance Clerk.  The primary objectives of the position include ensuring accurate and timely accounting records for receipts and/or disbursements for the annual conference, including the performance of a variety of complex clerical, bookkeeping, and accounting tasks; the application of accepted procedures to the preparation and maintenance of accounting and other records; and the preparation of financial, statistical, and/or technical reports.

 

Essential Functions

 

1)         Ensures the processing of new hires, temp workers, promotions, and terminations is accurate and timely in payroll system

2)         Ensures systems are set-up and up to date to reflect current employees, including wages, benefits, sick    and vacation time

3)         Handles the administration of the electronic timekeeping system. Setup each employee, monitor timesheet submissions, adherence to FLSA, and ensure valid data transfer to payroll service

4)         Processes and verifies as necessary to ensure accurate daily recording of receipts to lockbox

5)         Reconciles end of month giving and initiates bank wires monthly

6)         Assists with research of financial information as needed

7)         Provides analysis of available funds at management’s request

8)         Maintains file of remittance documentation and initiates monthly giving reporting to local churches

9)         Reconciles various accounts and researches and corrects any variances

10)       Coordinates and resolves various issues with banks such as cleared check differences, bank fee    anomalies, lockbox errors

11)       Monitors positive pay exceptions

12)       Assists associate director of finance with general ledger and subsidiary ledger maintenance

13)       Approves and posts journal entries to ensure all business transactions are recorded

14)       Timely payments of camp taxes

15)       Monitors credit card processes and Concur reconciliations

16)       Insurance and Pension reconciliations and monthly journal entries

 

Occasional Functions

 

1)         Assists with audit document retrieval as needed

2)         Attends denominational or industry training events as deemed necessary by supervisor

3)         Provide training to new and existing staff as needed

4)         Updates annual budget in general ledger for conference and districts

5)         Assists associate director of finance in management of financial services budget

Educational and Experience Requirements

 

  1. Associate degree or the equivalent from an accredited learning institution
  2. A minimum of 3 years performing duties of a like-nature to the position described herein, such as payroll processing, or in a position wherein the skills and experience are deemed transferrable and relative

 

Work Environment and Travel Demands

 

This position’s function and duties are performed in a professional office environment.  The role requires the use of common office equipment such as computers, phones, photocopiers, scanners, filing (both physical and electronic) and fax machines.  The position requires a 2-day minimum weekly attendance in the Conference Center.

 

While performing the duties of this position, travel may be required for up to 10% of the year. Ability to work remotely or in a virtual setting is required.
