The East Ohio Conference of The United Methodist Church announces a search and invites applications for a part time Board of Ministry (BOM) File Manager. The BOM File Manager supports the Board of Ordained Ministry as needed, including preparation and dissemination of correspondence. This position will take on the responsibilities of the District Committee on Ministry Registrars, Local Pastor Registrars, Background Check Coordinator as well as additional Board of Ministry Registrar duties. This position reports to the Board of Ministry Administrative Coordinator and Board of Ministry Chairperson.

The BOM File Manager will communicate with the Board of Ministry Registrars, District Superintendents, District Committee on Ministry about concerns/issues that arise with candidates (nearing deadlines, missing materials, etc.). The ideal candidate must maintain the highest level of confidentiality when receiving data, information and correspondence relevant to projects, services, and events. The person in this role must have the ability to sustain and grow effective communications with many persons, agencies, and constituents.

Primary Role(s):

• Maintain PASSAGE files for all exploring candidates (work with Psych Assessment Coordinator).
• Maintain e-bridge files for all candidates, local, and retired local pastors. Upload items to e-bridge including grades, transcripts, letters, reports, District Committee on Ministry decisions, etc.
• Maintain permanent clergy files in accordance with the established guidelines and assist District Committee on Ministry registrars in processing applications for candidacy and establishing the meeting of requirements for applications.
• Approve registrations for course of study for local pastors.
• Provide information for completing disciplinary questions and business of annual conference.
• Assist District Committee on Ministry tracking progress for candidates, e-bridge support, and access.
• Assist candidates for ministry by providing information and guidance throughout the Board of Ministry process.
•Coordinate candidate’s paperwork processing including iThenticate and background checks. Maintain records in accordance with established federal and state guidelines and Conference policy, including leave of absence records and financial records.
•Support the recruitment efforts of the BOM across a diverse population of potential clergy (ethnic diversity, gender diversity, age diversity, etc.).
Qualifications:
•Three to five years of administrative or relevant work experience is strongly preferred.
•Associate’s degree is required in relevant course of study. Bachelors preferred.
•Working knowledge of computer-based networks and Microsoft Office products is required.
•Experience in time management, prioritization, and multitasking abilities with keen attention to detail.
•Integrity, discretion, and respect for confidentiality and privacy while having dedication to preserving information and materials.
•Strong interpersonal and relational skills are required. Effective verbal and written communication skills are needed.
•Knowledge of the United Methodist denominational polity and organizational structure and membership preferred.

Considerations:

This position can be fully remote, or workspace can be provided in Cuyahoga Falls United Methodist Church.
