Charge Conferences

Charge Conference Dates Set for 2011

Bishop Mike's call to participate fully in the Council of Bishops initiative "Vital Signs for Vital Congregations", will be a major emphasis in all of this year's Charge Conferences.  For more information on the Vital Congregations project, please click here to view the Vital Congregations page on the West District website.

All Charge Conference forms are located on the Indiana Conference website, www.inumc.org. Once on the website's home page, click on "Charge Conference Forms", select your church and then input your church's GCFA number.  Your church's GCFA number is 6 digits long, and was communicated to you by letter at the end of August, and it is the same number that was used to access last year's forms.  If you have misplaced your GCFA number, please contact the District Center.

The 2012 Equitable Compensation Guidelines have been released, and are available to view and download by clicking here.  This document gives the 2012 minimum pay requirements for full-time clergy (there are no minimums for part-time clergy), suggested Cost of Living Increase amount, and suggested merit increases.

Please note:  All forms are to be completed and saved online at this website.  Like last year, you won't have to complete each form in one sitting. You can partially fill out a form, "save" it for later editing, then "complete" it in another session. Once completed, you can print the forms, obtain the required signatures, and deliver the forms to your District Center.  Forms can be postal mailed, e-mailed or faxed.  The fax number to use is 765-276-4789.  Any e-mails can be sent to West.District@inumc.org.  Forms MUST be received in the District Center NO LATER THAN 2 WEEKS PRIOR TO YOUR CHARGE CONFERENCE MEETING.  I suggest trying to get the forms to the District Center by October 15th just to be safe.  Signed forms will be returned to you at your charge conference.  FORMS WILL NOT BE ACCEPTED AT CHARGE CONFERENCE.  I have created a document that might help you as you prepare your charge conference forms.  It includes instructions for submitting forms, as well as a check list you can use as you complete each form.  You can download that document by clicking here.

You will notice that there is not a Continuing Education form included this year.  This form is not required to be submitted at charge conference in 2011.  The Board of Ordained Ministry is working with the Cabinet to redesign the form, and will likely ask that the new form be submitted at annual assessment time in the summer.  It is still required that you acquire continuing education credits, so please track these however you need.

There is also not a form asking for a Pastor's Report.  No Pastor Reports are required this year.

Although there is no form included, please send a list of your committee nominations with your charge conference forms.  Judi needs to see these before your charge conference.

You will notice a few forms online that you are being asked to complete, but you are not required to print them off for the district.  These forms are Volunteers In Mission (VIM) Report, Young Peoples in Ministry Report, and Creating a Culture of Call.  The information submitted on these forms is being compiled electronically, so there is no need to submit to the district.  It is still very important that you fill out these forms online!

Each pastor is responsible for informing the church members attending charge conference about the important items we will be voting on.  Judi is requiring that each church bring handouts for those voting from their congregation.  This handout should list the items being voted on: pastor salaries, nominations, removal of members, candidates, lay speakers, etc.

The charge conference schedule is listed below.  As we did in 2010, we will gather for our business meeting and have a meal together.  Clusters meeting at 12:30 will begin with a lunch, and will have their business afterward.  Clusters meeting at 4:00 will begin with business and follow with the meal.  Cluster leaders (both clergy and lay) are invited to dine with the superintendent during the cluster's meal.  The superintendent would like to meet with each cluster's co-leaders.
